Job Summary

The AP Supervisor works on the Finance and Administration team and is responsible for overseeing the day-to-day operations of the Accounts and Grants payable cycle. This role ensures the accurate and timely processing of payments, compliance with internal policies, and oversees the activities of the Accounts Payable staff. The individual will work in a dynamic environment requiring detail-oriented, independent, and professional work. This person will work closely with CWF teams and vendors to ensure smooth processing and payment of bills and grants and will also assist in overseeing the activities of the Staff Accountant – AP and provide other support to the Accounting team as needed.

 

Essential Tasks

  • Supervise the full Accounts and Grants Payable cycle for ClimateWorks Foundation ensuring all transactions are processed in a timely and efficient manner.
  • Oversees processing and review of all grants and bills in the accounting system with appropriate GL coding and documentation in accordance with CWF policies and procedures.
  • Coordinate with global offices and accounting firm for process and approvals.
  • Monitor and review outstanding accounts payable on a weekly basis.
  • Supervise weekly and special payments runs in an accurate and timely manner.
  • Maintain and update AP data in various systems including Sage, Salesforce, and Tipalti.
  • Prepare quarterly expense accruals and support financial reconciliation.
  • Interface with vendors and staff with questions, concerns, or information requests.
  • Oversee 1099 vendor compliance and reporting.
  • Supervise and provide day to day guidance to the Accounts Payable staff.
  • Identify process improvements to enhance AP efficiency and accuracy.
  • Ad hoc requests related to Accounting and Finance.

 

Required Qualifications

  • Associate degree in accounting, finance, or a related field, or equivalent work experience.
  • Minimum of five years of accounts payable experience, nonprofit sector a plus.
  • Business-level proficiency in Mandarin.
  • Two years of supervisory experience or demonstrated oversight of accounts payable function.
  • Proficiency with accounting software, Sage Intacct experience a plus.
  • Experience with Tipalti or other payment processing system.
  • Experience with Salesforce a plus.
  • Proficiency in Microsoft Excel and Outlook.
  • Attention to detail and accuracy.
  • Ability to multi-task, prioritize and work efficiently to meet multiple deadlines.

Compensation

ClimateWorks offers an excellent benefits package and a competitive salary that is commensurate with experience (geographic differential applied based on location)

Salary Range (Bay Area / NYC): $95,000 - $100,000 annually

Salary Range (Other US): $90,000 to $95,000 annually

Location

ClimateWorks Foundation is based in the San Francisco Financial District. This position is classified as US Flexible. Exceptional candidates can work from the SF office or from other locations, geographic differential applied to compensation based on local cost of labor.
