Document Controller
Position Summary
The American University in the Emirates (AUE) is seeking a highly organized and detail-oriented Document Controller to support the Institutional Effectiveness Department in managing, maintaining, and controlling institutional documents, records, policies, reports, accreditation evidence, and related documentation.
The successful candidate will ensure that all institutional documents are properly stored, tracked, updated, and distributed in accordance with University policies, accreditation requirements, and records management standards. The role will support institutional effectiveness, quality assurance, accreditation, and continuous improvement initiatives by maintaining accurate and accessible documentation systems.
Qualifications & Experience
- Bachelor's Degree in Business Administration, Information Management, Records Management, Library Science, Quality Assurance, or a related field from an accredited institution.
- Minimum of 2–5 years of experience in document control, records management, administration, quality assurance, or a related field.
- Experience within a higher education institution is preferred.
- Experience working with electronic document management systems and digital filing platforms.
Skills / Training / Knowledge
- Strong document management and records control skills.
- Excellent organizational and administrative abilities.
- High attention to detail and accuracy.
- Proficiency in Microsoft Office applications, particularly Word, Excel, SharePoint, and document management systems.
- Knowledge of records retention and document control procedures.
- Strong written and verbal communication skills.
- Ability to handle confidential information with discretion.
- Ability to manage multiple tasks and meet deadlines.
- Understanding of accreditation and quality assurance documentation requirements is an advantage.
Job Responsibilities
- Maintain and manage the University's document control system to ensure accurate storage, retrieval, and archiving of institutional records.
- Receive, register, track, distribute, and file official documents in accordance with established procedures.
- Maintain document version control and ensure that only current and approved documents are circulated and utilized.
- Support accreditation, institutional effectiveness, and quality assurance activities by organizing and maintaining evidence and supporting documentation.
- Coordinate the collection, review, and filing of policies, procedures, reports, meeting minutes, and institutional records.
- Monitor document revision cycles and ensure timely updates of institutional documentation.
- Ensure compliance with document retention and records management policies.
- Maintain both electronic and physical filing systems in a secure and organized manner.
- Prepare periodic reports regarding document status, compliance, and filing activities.
- Assist departments in document submission, formatting, tracking, and archival processes.
- Support audits, accreditation reviews, and institutional assessments by providing required documentation and records.
- Coordinate with internal stakeholders to ensure timely submission and retrieval of documents.
- Ensure confidentiality and security of sensitive institutional information.
- Assist in developing and improving document management procedures and workflows.
- Perform any other duties assigned by the Director of Institutional Effectiveness or University management.
