About the Role

CPI is seeking a proactive and detail-oriented Program Operations Associate to provide critical operational support to the Climate Finance program in Indonesia. This position requires an independent and resourceful individual with strong organizational, communication and interpersonal skills. The position requires strong attention to detail, a high level of professionalism, and the ability to multitask projects simultaneously.


This position is ideal for a candidate looking to build a career in the international development or climate change space, with a particular focus on program and/or grant management.

You will report to the Senior Manager, Global Operations, and work closely with team members across offices and departments in the United States, United Kingdom, India and Indonesia.


Pre Award /Proposal and Due Diligence support (15%):

  • Coordinate business development tracking and pipeline management on Fluxx Grantseeker, in partnership with Indonesia programs leads
  • Coordinate due diligence processes for prospective and existing donors, ensuring documentation is complete and compliant with organizational requirements
  • Support program teams on proposal requirements, systems, and internal processes



Grant Monitoring, Reporting, and Compliance Management (30%):

  • Monitor grant performance, including operational risks, and compliance issues, escalate concerns as needed
  • Coordinate donor reporting processes and timelines in collaboration with Program and Finance teams
  • Coordinate invoicing processes with program and finance team
  • Support internal and external audit processes
  • Monitor compliance documentation standards across projects and follow up on outstanding requirements
  • Support the implementation and educate program staff ensure accurate and compliant management of grants and contracts in adherence to donor regulations, local laws and regulations, and internal control procedures.

Grant Portfolio & System Management (15%)

  • Support regional systems implementation and process improvements, including adoption of global program management processes
  • Support continuous improvement of grant and program management systems, processes, and tools
  • Communicate and collaborate with CPI staff working around the globe to maintain most updated and accurate data across offices

Consultant & Vendor Lifecycle Management (20%):

  • Support the end-to-end vendor/consultant sourcing process in accordance with internal and donor procurement policies
  • Responsible for an end-to-end contracting process for consultants and vendors
  • Coordinate with project managers, finance division, and Global Operations in ensuring timely and appropriate processing, along with arranging the approval flows
  • Processing and tracking invoices related to each contract
  • Ensure compliance of contractors, sub-grantees and vendors with organizational and donor requirements

Regional Operations & On-the-Ground Compliance Support (20%):

In coordination with Program, Senior Operations Associate, and Finance:

  • Support program activities (event and travels when logistical requirements are required) including vendor sourcing for local travel needs (e.g. transportation, accommodation, etc.)
  • Travel and support events within the region when required to perform on-the-ground compliance support, maintaining accurate documentation for compliance and audit purposes

About You: Competencies and Experience

  • Proven experience in providing project administration and grant management support. A minimum of 2-3 years of experience working in an international and/or not-for-profit organization or in program administration is desirable
  • Knowledge or experience with international and national donor & governmental grant management.
  • Familiarity with best practice project management processes. Project Management qualification such as Prince2, Agile or similar desirable but not required
  • Experience of Microsoft Office Suite. Experience with Fluxx Grantseeker and/or NetSuite Suite Projects Pro is desirable
  • Experience in managing procurement process, including contracts and invoices
  • Basic understanding of Indonesia tax system
  • Written and spoken fluency in English is required

Position Details

CPI is recruiting for one full-time position in our Jakarta Office. Applicants must have Indonesian citizenship or a permanent residency in Indonesia. Compensation will be commensurate with experience in line with CPI's compensation framework.
