Job Profile


Under the management of the Protection officer and Technical supervision of the Information Analysis
Officer, the receptionist will be supporting the protection team based in Kisra, Deir Ez-Zor covering the
WGSS working closely with the PSS, Protection and Social Assistants under the supervision of
Protection officer. The position of receptionist will be in charge of receiving visitors and participants
in the WGSS. She will oversee appropriate registration by updating forms and maintaining the participant lists with
confidentiality.


Key responsibilities


Accountability and Complexity
Welcome and greet all visitors at the WGSS reception, providing a warm and inclusive environment for all women and girls.

• Provide orientation and necessary information to beneficiaries upon arrival, ensuring they are well
informed about available services.
• Register newcomers, maintaining accurate and organized records in both physical and computerized
formats.
• Complete forms in accordance with established procedures, and locate and attach appropriate files to
any email that require response
• Review work done by others to check for correct spelling and grammar, ensure that format policies are
followed, and recommend necessary revisions.
• Operate office equipment such as copiers and phone systems, and use computers for spreadsheet
management, word processing, database management, and other applications.
• Answer telephones and give information to callers, take messages, or transfer calls to appropriate
individuals.
• Set up and maintain paper and electronic filing systems for records, correspondence, and other
material.
• Uphold the principle of confidentiality, ensuring that no information related to beneficiaries is disclosed
without proper authorization.
• Ensure the reception area remains accessible
• Any other tasks assigned by the Line Manager.

Skills, knowledge and expertise required for the role.
Essential criteria
• Understand the humanitarian work done by organization.
• University degree in Sociology or related fields.
• Excellent interpersonal skills, including patience, diplomacy, willingness to listen and respect for
colleagues.
• Must be capable of working both individually and as part of a team and Respect for diversity.
• Ability to work effectively in a fast-paced, stressful environment.
• Must be flexible, willing to perform other duties and work irregular hours.


Desirable criteria:


• Knowledge of English language.
• Excellent experience in Microsoft Excel and Outlook
• Experience working in working with Women and Girls and Protection sectors.
