IsraAID is seeking an experienced Executive Personal Assistant to join our team and support the Global CEO.

The EA to IsraAID’s CEO will provide high-level administrative and operational support. This role involves managing the CEO's schedule, handling confidential information, and often serving as a point of contact for various stakeholders, managing communication on behalf of the CEO. 



Key Responsibilities:

  • Scheduling and Calendar Management:

Managing the CEO's calendar, meetings, including coordinating complex schedules and ensuring timely communication. 

  • Communication and Correspondence:

Handling all forms of communication (email, phone, in-person) on behalf of the CEO, drafting correspondence, preparing reports and presentations, and ensuring timely responses. 

  • Administrative Support:

Providing a range of administrative tasks, such as filing, data entry, organizing documents, and managing the CEO's office. 

  • Confidentiality and Data Management:

Handling sensitive information with discretion, managing databases, and maintaining confidentiality. 

  • Meeting and Event Coordination:

Organizing and coordinating meetings, conferences, and events, ensuring efficient preparation and follow-up. 

  • Travel Arrangements:

Planning and booking travel arrangements for the CEO, including flights, accommodations, and transportation. 

  • Expense Management:

Preparing and submitting expense reports, managing reimbursements, and ensuring accurate tracking of spending. 

  • Stakeholder Liaison:

Interacting with internal and external stakeholders on behalf of the CEO, including board members, executives, clients, and vendors. 

  • Problem Solving and Proactive Support:

Identifying and resolving issues, anticipating the CEO's needs, and proactively offering support. 

 

Required Skills and Qualities:

  • At least 5 years’ experience as an Executive PA
  • BA- must, MA- advantage
  • Fluency in Hebrew and English as mother language – must, other languages- advantage
  • Excellent Communication Skills: both written and verbal communication are essential for effectively communicating on behalf of the CEO. 
  • Strong Organizational Skills: ability to manage multiple tasks, prioritize effectively, and maintain a high level of organization. 
  • Confidentiality and Discretion: handling sensitive information with discretion and maintaining confidentiality. 
  • Proficiency in Microsoft Office Suite: expertise in programs like Word, Excel, PowerPoint, and Outlook is essential. 
  • Adaptability and Flexibility: the ability to adjust to changing priorities and work in a fast-paced environment. 
  • Professionalism and Interpersonal Skills: representing the CEO professionally and positively, and building strong relationships with stakeholders. 
  • Ability to travel abroad for a minimum of 1 work week every 3 months
  • The position is based in Israel, with a hybrid work week (office and from home)
