Position Summary

The Operations Manager plays a critical role in leading the HQ-based Operations Team and ensuring continuity in the implementation of the department's workplan and key priorities. This includes overseeing team performance, coordinating cross-functional efforts, and contributing to the institutionalization of operational systems and policies in collaboration with other HQ teams and regional offices.

This maternity cover will focus on team leadership, workplan oversight, and implementation of core operational initiatives, particularly in emergency preparedness, logistics, and field support systems.

Key Responsibilities

Team and Workplan Management

  • Supervise and guide the HQ Operations team, ensuring clarity of roles, task ownership, and timely delivery.
  • Maintain and monitor progress against the department’s workplan, ensuring accountability to timelines and outputs.
  • Support task management and coordination across the team, including scheduling, documentation, and follow-up.
  • Provide day-to-day management support to team members, ensuring operational continuity and well-being.

Cross-Departmental Coordination

  • Facilitate collaboration between Operations and other HQ departments to advance implementation of operational standards and tools.
  • Ensure follow-up and alignment on cross-cutting initiatives such as SOP rollouts and policy dissemination.
  • Coordinate with regional teams and country offices to support localization and adoption of operational policies.
  • Liaise with relevant stakeholders to ensure smooth implementation of logistics, security, and deployment processes.

Strategic Implementation

  • Monitor progress on department priorities and flag challenges or bottlenecks requiring leadership engagement.
  • Ensure that emergency preparedness systems and operational protocols are actively maintained and updated.
  • Oversee documentation and knowledge-sharing related to field operations, in coordination with relevant focal points.

Representation

  • Represent the Operations Department in internal working groups and interdepartmental coordination forums.
  • Contribute to external visibility efforts (when relevant), sharing insights from IsraAID’s operational experience.
  • Serve as an advocate for operational excellence and team learning across the organization.

Requirements

  • Minimum 3 years of experience in humanitarian operations.
  • Proven experience leading cross-functional or cross-country operational initiatives.
  • At least 3 years of management or supervisory experience with small- to medium-sized teams.
  • Strong planning, communication, and organizational skills.
  • Ability to manage competing priorities and deliver under tight deadlines.
  • Knowledge of logistics, emergency response, and humanitarian operational standards – an advantage.
  • Fluency in English; additional languages (Hebrew, Spanish, French) are an asset.
  • Willingness to travel if needed.

Conditions

  • Full-time position.
  • Office working days: Sunday–Thursday.
  • Minimum 3 working days per week from IsraAID HQ office.
  • If home-based, willingness to travel to HQ at least 3 times during the contract period.
  • Minimum 2 short deployments during the contract period (up to 3 weeks each).
  • Alignment with Israel working hours, minimum 5 hours per day.
